Privacy Policy

What we collect

• Poll content you create: title, description, dates, times, and any location you add.
• Responses guests submit: the name they enter, the time slots they mark, and an optional email address if they choose to provide one.
• Creator email, only if you opt in to notifications when creating a poll.
• Approximate location derived from your network connection by our hosting provider, used only to bias place-search results. It is not stored.

We do not require accounts, and we do not use advertising or third-party tracking cookies.

How we use it

Data is used solely to operate the service: build the availability heat map, let guests edit their own response, and — if an email was provided — send poll links, response notifications, and the final calendar invite. We do not sell your data.

Who we share it with

We rely on a few service providers that process data on our behalf:

• Supabase — database storage.
• Cloudflare — hosting and content delivery.
• Google Places — location and place search (only when you use that feature).
• Resend — sending the emails described above.

Retention

Polls and their responses are automatically deleted about 90 days after creation. A poll’s host can delete it — and all of its responses — at any time from the “Danger zone” on the results dashboard.

Your choices & deletion requests

Providing an email is always optional. You can delete data yourself or ask us to:

• Delete a whole poll (and every response to it): open the results dashboard via your private results link and use “Delete poll” in the Danger zone.
• Delete or correct a single response: reopen the poll from the edit link you were given and update or clear your answer.
• Can’t reach a link? Email hello@whentastic.com with the poll link or title and we’ll handle it. We aim to respond within 30 days.

Depending on where you live, you may also have rights to access, correct, or delete your personal data, or to object to its processing; contact us to exercise them.

Children

Whentastic is not directed to children and is not intended for anyone under 13. We don’t knowingly collect personal information from children under 13; if you believe a child has provided us such information, email us and we’ll delete it.
